Three tools, one idea
Zapier, Make and n8n all connect apps with triggers and actions: when something happens here, do something there. They differ in how many apps they support out of the box, how they handle complex logic, where they run, and how they charge as your volume grows.
Zapier: widest reach, simplest start
Zapier has the largest catalogue of ready-made app connections and the gentlest learning curve. It suits short, linear workflows owned by non-technical people. Costs are tied to the number of tasks you run, so high-volume or many-step workflows can become expensive, and complex branching is possible but harder to read.
Make: visual logic for more complex flows
Make lays workflows out as a visual canvas, which makes branching, loops and data transformation easier to see and debug. It rewards a little more learning, and its pricing is based on operations, which suits medium-complexity workflows well.
n8n: open and self-hostable
n8n can run on your own server as well as in its cloud, lets you drop into code when a node is not enough, and has strong AI and agent building blocks. That control suits teams with technical help and data they would rather keep in-house; self-hosting also means you own the upkeep.
When none of them is the answer
If the workflow needs a proper approval inbox, careful error handling, or an interface your team uses every day, a small custom application is often clearer and cheaper to run than a very large automation. We use all three platforms and custom code, and choose per job; the right answer is whatever you can understand and maintain.
