Which accounts will it connect to, and with what permissions? Ask for the narrowest scopes that do the job, connected through accounts you own, so you can revoke access yourself in one place.
Data
Which fields does each workflow read, where are they stored, and for how long? Which AI providers will process them, and do their terms exclude training on your data? Get the list in writing.
Approval
Which actions can happen without a person? Sending email, changing records, publishing and moving money should wait for approval unless you have deliberately decided otherwise.
Visibility
Is every action logged with what happened and why? Is there a single switch to pause all automated activity, and does it pause automatically after repeated failures?
Sensitive work
Health, legal and financial information needs extra care and sometimes specific agreements. A good provider will say plainly when something should not be automated, and will scope regulated work separately before building.
